Etsy digital downloads
Etsy digital downloads let you sell files customers can access online, either immediately or after you make a custom version. Start with a useful product you have created or designed yourself, and treat sales as uncertain rather than guaranteed.

- Make a useful file for a clear group of people.
- Put it in your Etsy shop as a download.
- Show clearly what the buyer will receive.
- Sales can be slow, so income is not certain.
- Check your rights, tax and customer rules.
Who it suits
It may suit people who enjoy making digital resources, such as templates, patterns or printable materials, and are willing to learn product presentation and customer support. It is a poor fit if you need dependable income quickly.
People may pay for a ready-to-use file that saves time or helps them do something they need. Clear examples, useful instructions and a product made for a specific need can help buyers decide whether it suits them.
Step by step
- Choose one customer and one problem. Think of a specific person who might use your product and what they need help doing. Choose one small file you can make well, rather than trying to build a large catalogue straight away. About 30-60 minutes.
- Make a product you have rights to sell. Make or design the digital item yourself; Etsy says digital items in a shop must be made and/or designed by the seller. Keep a note of any fonts, images or other resources you use, and check their usage rights. Etsy Help About A few hours to several days.
- Choose instant download or custom work. Decide whether the buyer will receive a finished file straight away or whether you will make a version after purchase. Etsy calls these instant downloads and made-to-order downloads. Etsy Help About 15-30 minutes.
- Prepare and test the files. Open each file and check that it works, ideally on a different device or app. Etsy lists a limit of five files, up to 20 MB each; check Etsy's supported file types before choosing a format. Etsy Help About 30-60 minutes.
- Give every file a clear name. Use a name that tells the buyer what the file is. Buyers see the file names you upload, and Etsy says names cannot be edited after upload; names have a 70-character limit and some characters are not allowed. Etsy Help About 10-20 minutes.
- Show the product and explain what is included. Make listing images that show the file and its contents. State the format, intended use, whether it is customised and anything the buyer will not receive. About 1-3 hours.
- Create the listing and select the right type. Choose Digital files under What type of item is it? For an instant download, upload the files when making the listing; for a made-to-order download, select Made To Order and do not upload a file at that stage. Etsy Help About 30-60 minutes.
- Set a price and review the listing. Choose a price you can explain in light of the product's usefulness and the work involved. Preview the listing as a buyer would, checking its images, description and download details. About 30-45 minutes.
- Finish and upload any custom order. After a made-to-order purchase, finish the file in Shop Manager under Orders. Then complete the order and upload the finished file for the buyer. Etsy Help About Depends on the custom work; agree a realistic timeframe.
Your first 15 minutes
This week, make one small original digital product, test the download file, and draft a listing that clearly shows what a buyer will receive.
The money
Work out the time and other costs involved, then choose a price that makes sense for the usefulness of the file and the customers you hope to reach. Etsy fees are not stated, so check Etsy's current fees and include them in your own calculations.
Example only: In one week, 10 downloads at £5 each bring in £50. If assumed costs are £8, £50 - £8 = £42 before tax. Separate example in euros: 8 downloads at €6 each bring in €48; if assumed costs are €7, €48 - €7 = €41 before tax. These are sample calculations, not expected earnings.
The rules
You can generally sell original or properly licensed digital files on Etsy in the UK and Ireland. You still need to follow tax, consumer and platform rules. Check Etsy’s current account rules before you open a shop.
UK and Northern Ireland
- Tax and records. The UK trading allowance is £1,000 a year. It is based on gross income before expenses. If you earn more, tell HMRC. If you need to register for Self Assessment, do so by 5 October after the end of the relevant tax year. GOV.UK Tax Help for Hustles GOV.UK
- Platform reporting. Since 1 January 2024, platforms report sellers who meet the rules: 30 or more items or about £1,700 a year. This report does not, by itself, mean you owe tax. GOV.UK
- Digital VAT. For covered automatic downloads bought by UK customers, Etsy says it adds and pays the VAT. You do not add that VAT to the listing price. This does not settle your other tax obligations. Etsy Help
- Buyer cancellation rights. For digital content that is not on a physical item, the normal UK cancellation period ends 14 days after you make the contract, unless regulation 31 applies. Do not assume that an instant download removes cancellation rights. Check your situation with Trading Standards or a legal adviser. Legislation.gov.uk
- Online selling information. Before the contract, online traders must give buyers certain information. If buyers have cancellation rights, you must make a cancellation form available. Make costs clear before purchase. Buyers must actively agree to extra payments; do not select them by default. Check that your listings and shop information meet the rules for your business. UK Government guidance
- Copyright and other rights. Etsy says you must make and/or design your digital items. Use your own work, or check that you have permission to use any fonts, artwork, photos or other assets. Etsy Help
- Insurance, data and age. Think about whether business insurance would be useful for you. The ICO has a self-assessment tool to help you check whether you need to pay a data protection fee. Do not assume that handling buyer information means you must pay a fee. Check Etsy’s current seller age and account rules before signing up. ICO
Ireland
- Tax and records. If you work in PAYE, register for self-assessment using Form 11 if your taxable non-PAYE income is over €5,000 or your gross non-PAYE income is over €30,000. Below those thresholds, declare the income on Form 12 through myAccount. Check your situation with Revenue or a tax adviser. Revenue
- Business name. If you trade under a name other than your own, register the business name with the CRO. Online registration costs €20. If you are unsure whether your chosen name needs registration, check with the CRO. CRO
- Digital VAT. For covered automatic downloads to EU buyers, Etsy says it collects and pays the VAT. This does not settle your other tax obligations. Etsy Help
- Buyer cancellation rights. Online purchases from a business generally come with a 14-day cancellation right. The listed exceptions include personalised or made-to-order products. It is not clear whether an instant-download digital file qualifies for an exception. Check with the CCPC about your situation. Before purchase, give buyers your business name, physical address, phone number and email address; product details; the total price and extra charges; and information about cancellation rights, timescales and how to use the cancellation form. Make clear when payment is due. Do not add extras through pre-ticked boxes. Send an order confirmation in a lasting format, such as email. If a buyer cancels, refunds are generally due within 14 days of you being told, subject to the stated return conditions. Use the same payment method unless the buyer agrees otherwise. CCPC
- Advertising and promotions. If you publish commercial or influencer-style content to promote products, label it clearly. For example, use “Ad”. If you are unsure whether a post counts as commercial content, check the CCPC guidance. CCPC
- Insurance and age. Think about whether business insurance would be useful for you. Check Etsy’s current seller age and account rules before signing up.

Common mistakes
- Making many products before checking whether a specific customer needs them.
- Using images, fonts or other materials without checking the rights.
- Leaving out file format, contents or customisation details in the listing.
- Uploading a file without testing it or checking its name first.
- Assuming sales, tax or Etsy's VAT handling will cover every cost and obligation.
